Responsibilities:
Maintain calendar, scheduling, and travel arrangements for the Managing Partner Setup conference room and greet guests for in person and remote meetings Coordinate meeting schedules and take meeting minutes for weekly contractor, warranty and management meetings Assist with communication between corporate office and the Tulsa office Manage inventory and ordering of office, construction & sales team supplies Perform general office and clerical duties, collect and distribute mail, act as a phone back up Occasionally compose and/or edit a variety of documents and letters Work closely with accounting to manage and process Tulsa office's bills/expenses, submit management reimbursement requests, missing checks and/or vendor payment requests Compile, edit and submit subcontractor contracts and documents for contract upkeep and new subcontractor onboarding Work closely with human resources to handle onboarding tasks for new hires Maintain inventory and new hire setup of staff tech devices (phones, tablets, laptops etc) Manage ordering and inventory for staff uniforms and promotional materials Work with the marketing department to design and order staff business card, meeting media, billboards, and neighborhood signage Scan, organize and maintain office archival filing Coordinate training and events for the construction team Special Event Coordination - Home & Garden Show, Parade of Homes, Holiday Maintain a high level of confidentiality of all office practices Assists with other duties as directed Minimum
Qualifications:
GED/High school diploma Associates degree or higher in Business Administration, Construction, or related subject is preferred 2
years of Executive Administration experience preferred 2
years of Managerial or Leadership experience preferred Knowledge, Skills, and Ability:
Knowledge of general office practices Working knowledge of MS Office Suit (Word, Excel, Outlook, PowerPoint) Working knowledge of Google Docs, Dropbox, and DocuSign Proficient knowledge working with general office equipment and computers Experience with Human Resources compliance Good time management skills and ability establish priority Ability to work in a fast -paced environment Ability to interact with variety of personalities Ability to work independently Ability to communicate professionally Demonstrate attention to detail and patience Demonstrates a sense of urgency Strong organizational and communication skills Ability to answer a multi-line telephone system Willingness to be a member of a dedicated team Strong people skills, patients and maintain a professional appearance.
Valid driver's license Able to perform a safety sensitive position Good attendance and punctuality are mandatory Work Environment:
Office environment.
The noise level is moderately quiet.
Physical Demands:
Occasionally required to sit and use their fingers, to handle or feel.
Occasionally requiredto stand, walk, reach with arms and hands, and to stoop or kneel.
Must be able to carry equipment up to 30 lbs.
